Medical Equipment Procurement Checklist: Hospital Trolleys, Dental Chairs, and Histology Labs

A practical checklist for buying hospital trolleys, dental chairs, and histology lab equipment. Includes a plain-English 'what is histology?' and the mistakes to avoid.

The 7-Step Checklist

Step 1. Start with the clinical workflow

It is tempting to start with a product category. That is backwards. Start with what the staff does in the room. If a doctor says 'We need a microscope,' the real question is what will happen before and after the microscope. Histology is the study of tissue at the microscopic level. A histology room needs a workflow: sample collection, fixation, processing, embedding, sectioning, staining, and then viewing. Step 2. Match the device to the setting, not just the name

A hospital trolley is not one thing. There are transport trolleys, MRI-safe trolleys, bariatric trolleys, and utility carts that get called 'trolleys' by sales reps. A dental chair is not a chair with a light. It includes the base, the delivery system, suction lines, and sometimes a water line that connects to the building. If you compare list prices without comparing intended use, you are comparing the wrong numbers.

Most of this information is in the device's intended-use statement. If the intended use does not match your patient population or your room, walk away. In March 2023, I specified a dental chair the vendor said was 'FDA registered.' The registration was for a different model. We caught it in the documentation review, but it still cost two weeks because we had already ordered it.

Step 3. Verify regulatory status and documents

For devices sold in the US that require 510(k) clearance, search the FDA 510(k) database at accessdata.fda.gov. I am not a regulatory expert, so I cannot tell you which class every device falls into. What I can tell you from a procurement perspective is: do not accept the phrase 'FDA cleared' without seeing the clearance number. The database is free and searchable as of January 2025.

Also ask for the ISO 13485 certificate if the manufacturer claims quality-system certification. ISO 13485:2016 is the standard for medical device quality management systems. It is not, on its own, proof that a product is right for your clinic. It is just a baseline. But a company that cannot produce its own certificate probably cannot produce a reliable validation packet either.

Step 4. Measure the entire path, not just the room

Here is where I earned my September 2019 scar. I ordered 14 hospital trolleys for a clinic in Loveland. The room dimensions were fine, and the corridor width looked fine. I did not measure the 90-degree turn near the elevator, and every trolley got stuck. The cost was about $3,200 in return freight and re-coordinating the delivery, plus a three-week delay.

I am not a facilities engineer, so I do not use CAD software or model swing paths. I use a tape measure and I walk the route. If a hospital trolley turns at 78 cm, the route needs more than 78 cm at every point. Door handles, wall-mounted dispensers, and fire extinguishers can shrink a corridor more than you think.

Step 5. Check installation requirements and consumables

A dental chair often needs a drain connection, a certified electrician, and sometimes a separate compressor. A histology lab needs ventilation, chemical storage, and water. A hospital trolley, by contrast, usually needs nothing except a person to remove the packaging. These differences change the project timeline. If you order equipment before confirming the utility work, the equipment sits in the hallway.

I don't have hard data on how many delays come from missing installation prep, but based on our order history, I would estimate it is about one in four. I wish I had tracked that number more carefully from the beginning. What I can say anecdotally is that the question 'who installs this and what do they need?' has prevented at least six delays since 2022.

Step 6. Build in time and decide when rush delivery is worth it

This is the step where I changed my mind. I have mixed feelings about rush fees. Part of me thinks they are overpriced. The other part remembers a March 2024 case where we paid $400 extra for guaranteed delivery of a replacement dental chair. The vendor said shortage claims had to be filed within 48 hours. That was a $1,900 mistake and an awkward conversation with finance.

Now we open at least one box of every model before signing, check the serial number against the packing list, and put 'subject to inspection' on the delivery receipt. This does not make you difficult. It makes you professional.

Choosing by unit price alone

The lowest quoted price is not the lowest total cost. Add shipping, setup, training, spare parts, consumables, and the probability of reorder. Bottom Line

This checklist is not glamorous. It is a list of things I learned by paying for them. I don't have an industry-wide study to cite for most of these lessons, but I can say our team has caught 47 potential errors since 2022 using this process.
